Administrative Specialist

JOB SUMMARYThe Administrative Specialist performs a variety of administrative tasks and supports Region V Services' Chief Executive Officer (CEO) and executive team members as assigned.
The Administrative Specialist contributes to the efficiency of office operations by providing personalized and timely support in planning and executing administrative functions such as scheduling, preparing documents, meeting minutes, communications and other correspondence, record keeping, governing board coordination, development of presentation materials, and packets, special event planning, and other assigned projects.
ESSENTIAL FUNCTIONS Act as the point of contact to the public for the CEO.
Ensures proper office coverage between the hours of 8:
00 AM to 4:
30 PM, Monday through Friday.
Manages information flow within Central Office in a timely and accurate manner.
Responsible governing board preparation, materials, minute taking, accurate recordkeeping, etc.
Provides hospitality for meetings and trainings such as food, snacks, beverages, etc.
As requested, make travel and accommodation arrangements for staff Track and record daily expenses pertinent to role and prepare weekly, monthly, or quarterly reports Format information for internal and external communication - memos, emails, presentations, reports Take minutes during regional governing board, advisory committee, ARVAD, and other meetings as assigned.
Posts meeting minutes to RVS website for public viewing.
Screen and direct phone calls and distribute correspondence; answering Central Office phone system and directing phone calls to relevant staff Processing and directing mail and incoming packages or deliveries Provides support and coordination for special events and training as assigned.
Maintain database of Region V Services contacts and users via Office 365 (or preferred) platform.
Add and terminate users as needed.
Perform user maintenance monthly.
Compiles information from agencies on individuals supported and prepare monthly reports as requested Manages special projects or record keeping as assigned for executive team members.
Seeks continuous improvement regarding administrative processes.

Minimum
Qualifications:
A high school education, GED, or equivalent knowledge.
Three years of work experience in an office setting performing related functions, such as secretary, bookkeeper, office assistant, etc.
One year of college and/or business school may be substituted on a one-to-one basis for years of experience.
Experience with a personal computer is required.
